Our K-12 education program in downtown Honolulu is the only coordinate school system in Hawai?i. We offer two single-sex schools on the same campus. Our girls (The Priory, K-12) and boys (The Prep, K-6) are educated separately in the classroom yet can socialize together on campus. Coordinate schools recognize that the social and emotional experiences that children have in schools shapes their learning – and ultimately affects how they think and act. Position Description

St. Andrew’s Schools seeks an experienced Registrar to join our school community. The Registrar reports to the Upper School Principal and performs a wide variety of administrative duties in support of the academic program. The Registrar manages the academic records of all students on the school’s information management system, coordinates and manages all standardized testing, manages , textbooks and consumables orders, and supports the Director of College Counseling to implement the College Counseling Program.


This is a full-time, year-round, salaried position offering a generous benefits package including retirement plan, health benefits, paid vacation, and more. This position works through school closures (Spring Break, Winter Break, and Summer) except when school administrative offices are closed or as directed by the Head of School.


St. Andrew’s Schools is seeking a candidate who has a Bachelor’s Degree plus three years of related experience and/or training, or an equivalent combination of education and work experience. Successful candidates will possess excellent computer and database skills. Excellent written and verbal communication skills, creativity, strong problem-solving, and spreadhseet skills are needed. And, candidates will need to work both collaboratively and independently, pay attention to detail and effectively manage time and meet deadlines.


Specific Responsibilities

  • Directly supports the upper and lower school principals and interfaces  with the admissions office, technology director, school nurse, and business office

  • Create and maintain current student academic records, including:

  • enroll and update student/parent information in the student information system

  • maintain and update current and historical student records including students’ personal and academic data, grades, grade changes, test scores, and academic achievements and awards

  • manage the issuance of official and unofficial transcripts, test scores and enrollment, and GPA verification information

  • transfer student records

  • support activities related to commencement for graduating seniors

  • Process, review and distribute quarterly student reports

  • Maintain and back-up student records according to the academic data storage policy

  • Coordinate the course selection and add/drop process, including updating relevant materials and supporting the signup process, for new and returning students 

  • Coordinate and manage the textbook and consumables process with faculty and textbook vendor, including purchasing, student supply lists,  online subscriptions, and textbook support for students

  • Tracks student textbook fees and submits them to the business office for billing

  • Assist in training and support of faculty vis-à-vis PowerSchool and Canvas, our Student Information System (SIS) and Learning Management System (LMS)

  • Assist the College Counseling Office:

  • Testing coordinator and manager of all on-site standardized and AP tests

  • Schedule college representative visits  

  • Assist  with scheduling of parent meetings as needed

  • Assist sending of letters to parents regarding testing and college counseling related items.

  • Manage Naviance and the technical details of the college application process  

  • Maintain and report new courses and update additions, deletions and course changes with the NCAA Clearinghouse

  • Order diplomas

  • Work with Upper School and Lower School  Principals to update and edit Curriculum Guides and handbooks

  • Manage school attendance when the school nurse is off campus

  • Provide information and reports as requested to department chairs and members of the administration

  • Perform other duties as assigned
